software application that links every facet of the association. This
seamlessly ties together homeowner accounts,
property inspections, and service requests.
Homeowner Services
Listed here are a few of the personalized homeowner services we
provide:
- Listen to owners questions and issues - provide answers and
solutions in a timely manner
- Emphasize an open line of communication between management, the
board, and owners by responding to all inquiries quickly,
courteously, and accurately
- Administer work orders promptly
- Mail welcome information to new owners
Property Management Services
- Provide routine property inspections
- Enforce the CC&Rs, Rules, and Regulations according to Board
direction
- Coordinate bid process and provide assistance to the Board or
Committee to analyze bids or proposals for common area maintenance,
repairs, landscape improvements, pool maintenance, or
janitorial services
- Provide contract negotiations
- Provide after-hours emergency services
- Meet with Association contractors and vendors as necessary
Administrative Services
- Organize Annual,
Special, or Open Meetings of Owners and the Board of Directors of
the Association, including the preparation of notices, agendas, and other
necessary documents
- Meet the Annual
Disclosure and Notice Checklist as required by law
- Guide and assist
the Board and/or Committees in the development of policies and
procedures
- Assist in the
selection of attorneys, accountants, and other necessary association
professionals
- Keep all records of
the Association and the Board of Directors
- Maintain a
register of owners, officers, and directors and such other registers or
schedules as required by the governing documents and/or Board of
Directors
- Assist in resolving
individual owner requests as they pertain to the administration of the
association, its common elements and governing documents
- Prepare, print,
copy, and mail all necessary Association correspondence
Financial/Accounting Services
Assist the Association in the preparation of the annual budget.
The budget is based on prior operating expenditures, estimated future
expenses and requires capital replacement reserves.
- Account for
assessments and all other charges due by the Owners
- Maintain operating,
reserve, and other bank accounts in the name of the Association
- Bank accounts will be maintained separately from all other
accounts of the Management Company, the funds in these accounts will
not be comingled with other accounts
- Notify owners of
delinquency and take reasonable action for the collection of the
delinquent assessment as set by the Association
- Make all
disbursements from assessments collected for normal recurring operating
expenses as provided in the budget and approved by the Association
- Provide monthly and year-end financial reports as required by
law, if requested
- Assist in the
annual audit of the Association
